For agents

Use the Billing console

Open Console, select the correct tenant, and choose Billing to review your commercial stage, usage, agreements, installment schedules, invoices, enterprise additions, and payment access. You can use the page to reconcile agreed terms and see what needs attention before paying or renewing.

The commercial stage describes your tenant's agreement and access. It is separate from the API environment selected elsewhere in the console. A tenant can still be commercially in sandbox when using the hosted console; confirm the intended agreement and environment before sending live traffic.

Understand permissions

All signed-in tenant roles can view Billing. Owners and administrators can save supported agreement drafts, open the payment portal, and record non-renewal. Developer, security reviewer, and viewer roles have read-only billing access.

Task Your team GrayPass billing team
Agree commercial terms Confirm payer, scope, dates, usage needs, and signed terms. Prepare and approve the commercial arrangement.
Save a supported draft An owner or administrator can record the agreed details when using this workflow with GrayPass. Review the draft against the signed terms.
Activate service and release invoices Satisfy the agreed prerequisites and review the schedule. Approve the agreement and release eligible invoices.
Pay an invoice Use its payment link or agreed remittance instructions. Reconcile receipts and any payment exceptions.
Correct tax, charges, or balances Supply the reference and requested correction. Review and apply the appropriate financial adjustment.
Record non-renewal An owner or administrator records the decision for the correct term. Handle any contractual notice or settlement questions.

GrayPass's billing team handles financial approval, tax setup, invoice release, refunds, credit notes, accounting exports, and commercial exceptions. Send the relevant agreement or invoice reference when requesting one of these changes.

Read current usage

The page shows the selected meter's used quantity, monthly included amount, estimated additional charge, and contractual UTC window when an active production window exists. Use the active window for current estimates and the invoice list for historical amounts.

Compare the displayed meter and window with the agreement. Assured Actions and Active Brainprint months count different units; the Settings diagnostic counters are not substitutes. See usage and billing.

Review an agreement

An agreement section identifies its kind, annual amount, collection cadence, service dates, meter, allowance, and additional-usage rate where applicable. It also shows relevant evaluation-credit deadlines, first-term concessions, renewal amount, and renewal status.

The Platform installment schedule separates gross amount, evaluation credit, net amount, invoice date, and status. The Invoices table separates invoice total, recorded cash and adjustments, financial state, due date, and payment link. Enterprise additions have their own service dates and finite schedules.

Held identifies an invoice awaiting financial release. Pay opens the hosted payment page. Completed settlement appears in the invoice's payment state.

Prepare an agreement draft

Agree the commercial arrangement with GrayPass before filling in a draft. Use the form to record the agreed information and submit it for review. If GrayPass is preparing the agreement for you, review the resulting record instead of creating a second draft.

When an owner or administrator uses the draft workflow:

  1. Confirm the tenant, legal payer, billing contact, application scope, and service dates.
  2. Use the signed-document reference and integrity information supplied for the agreement. Enter the supplied values and the records belonging to this agreement.
  3. For an evaluation, record the agreed fee, scope, and success criteria. For production, verify the annual commitment, collection cadence, selected meter, monthly allowance, additional-usage rate, and signature date.
  4. Identify any eligible source evaluation or first-term concession agreed with GrayPass. Check how the credit changes the installment schedule.
  5. Save the draft and review its recorded details with GrayPass. Agreement approval, invoice release, and commercial activation are separate steps.

Changes to tax setup, payment-term exceptions such as Net 30, free production-shadow terms, and other commercial exceptions require GrayPass's billing team. Coordinate the agreed arrangement through founders@graypass.org before submitting it.

Manage payments

Use Open payment portal to manage payment methods and invoices for your tenant. Handle plan changes, cancellation, and contract modifications through the signed-agreement process.

If the portal is unavailable, confirm with GrayPass that payment access has been set up for this tenant. Follow the methods shown on the hosted invoice. Preserve remittance references and inspect updated state after pending bank payments, refunds, disputes, or credit notes. See invoices and payments.

Non-renewal and service end

For an eligible production agreement, an owner or administrator can choose Record non-renewal. Confirm the term and keep the recorded result. The recorded decision applies to the future renewal; the current term and its obligations continue under the agreement.

If service has ended, the page can distinguish remaining scheduled fees retained under settlement, waived under settlement, or awaiting a settlement decision. Existing invoices require separate resolution. Review renewal and lifecycle before interpreting these states.

Resolve a discrepancy

Check the correct tenant, agreement, UTC usage window, and role first. Compare the schedule and invoice lines with the signed terms. Record the invoice or agreement reference and discrepancy, then request reconciliation against the existing agreement and payment records.

Contact founders@graypass.org with the minimal references needed. Do not include API secrets, payment-card details, full subject exports, or raw behavioral data in a billing request.
